Overview
The SafeZone system is able to be integrated with a number of standalone devices. Check with the Customer Success Team for the latest list in your area. Currently there are 3 main devices which can be integrated through this menu:
- Twig (Standalone Lone Working) Devices
- Garmin Satellite Devices
- NaoTrack Alert Buttons (requires specialist indoor infrastructure)
In this section you can learn how to:
- Create a Single New Device
- Assign Devices to a User
- Bulk Import Devices
- Exporting The Device List
- Updating or Removing Device Assignments
- Finding Devices by its ID
- Finding Devices by Email
- Delete a Device
You can navigate to the Devices page through SafeZone Command by clicking on "Admin" then selecting "Devices" from the left menu. This will show you a list of devices added to the system and their current user allocations.
Creating a Single New Device
- For one-off device creation, use the "Create New Device" button at the top-right of the page
- A pop-up window will display with fields to complete
- Use the dropdown boxes to select the appropriate manufacturer, device model and device ID
- Optionally you can assign the device to an existing user by typing their email address or name into the assignee field.
- Click "Save" to confirm or "Cancel" to go back
Assigning Devices to an individual User
Devices can be assigned as part of the Creation of a New Device (see above) or as part of a bulk import (see below).
There are occasions when you will need to update a device owner / temporary assignee or when you will have a box of devices which are handed out to people as part of a registration process.
Assigning new / unallocated devices
- Go to the Devices page in Command
- Click the "Unassigned" filter
- Type the Device ID in the "Search Devices" box
- The list will filter live and when you see the one you want click on its device ID hyperlink
- On the "Device Details" pop-up window, use the Assignee box search field by typing their email address or name and select the user from the list
- NOTE: The user must be registered as a SafeZone user first
- Click "Save" to confirm or "Cancel" to go back and cancel.
Importing a list of devices and pre-allocation to users
- When importing a larger number of devices, we advise using the "Import Devices" button a the top-right of the page. This allows you to import a list of devices of the the same model.
- You will then be taken through a wizard to setup the device
- Select the Manufacturer and Model
- Then:
- If you will assign devices later, check the "Allow devices to be unassigned or re-assigned" button
- If you want all devices to be pre-assigned do not check the "Allow devices to be unassigned or re-assigned" button
- Press the right arrow to continue
- Press the "Download" button to get an excel template file which will need you to add the Device IDs and, if assigning users, their email addresses in the spreadsheet.
- Save the populated spreadsheet in an appropriate location according to your organization's policies.
- Upload the Spreadsheet by clicking "Select File" and navigating to the location you stored the file in the step above.
- Check the import information on the Verify screen and press "Import" to confirm or use the back arrow to go back.
- You will see a confirmation screen showing what has been imported.
Exporting The Device List
If you would like to export the device list (to help with data management and later re-upload) you can do this from the main "Devices" page
Simply go to the "Devices" menu in Command - Admin and click on the "Export All Devices" button.
An Excel table will then be downloaded via your browser's own download management tool which includes:
- Device Id (e.g. the IMEI number, MAC Address or other unique identifier)
- Model (E.g. Inreach for Garmin, NaoTrack for SafeZone Companion)
- Manufacturer (of the device)
- Assignee (User ID of the assigned user or “unassigned” if not allocated)
- Email (Of the assigned user)
- Given name (Of the assigned user)
- Family name (Of the assigned user)
Updating or Removing Device Assignments
To update device assignment you will need either the device ID or the email address of the person to be unallocated.
For example if someone returns a damaged device and you can see the ID, you can search for the ID to remove the allocation.
If someone loses a device, the ID may not be know and therefore entering the email of the person who has lost the device is the easiest way to manage it.
Searching for a device via its ID
- Go to Admin - Devices
- Ensure the Search by Device icon
is highlighted by clicking on it so (this is default behavior)
- Start typing the device ID in the "Search devices" box
- As you start typing the list will start to filter automatically
Note: you can use the "Assigned" / "Unassigned" filter to reduce the number of initial results.
Searching for a device by Email
- Go to Admin - Devices
- Ensure the Search by Email icon
is highlighted by clicking on it.
- Type the full email for the user into "Search devices" box
- As you start typing address validation will begin and an "Enter a valid email address" will appear.
- Once you have entered a valid address, the above message will disappear and any results will be displayed
Updating the device assignment
- After searching for the device (by either ID or email address as shown above) click on the hyperlinked "Device Id"
- This will bring up the Device Details where you can select the Assignee by clicking in that dialog box.
- Searching for a new assignee in that box will automatically remove the previous user and allocate the new one
- Click "Save" to confirm the reassignment or "Cancel" to go back without saving.
Removing the device assignment
- After searching for the device (by either ID or email address as shown above) click on the hyperlinked "Device Id"
- This will bring up the Device Details where you can select the Assignee by clicking in that dialog box.
- Click on the cross next to the persons name in the assignee box or click in the box itself and press the backspace button.
- If you want to delete this device completely after removing the assignment it is recommended to note / copy the device ID first as it will help with the deletion process.
- Click "Save" to confirm the reassignment or "Cancel" to go back without saving.
Deleting Devices
Note: only devices unallocated from a user can be deleted. If the device has an existing allocation this needs to be removed as per the above instructions before being deleted.
- Go to the Devices page in Command
- Type the Device ID in the "Search Devices" box
- The list will filter live and when you see the one you want to delete click on its Device ID hyperlink
- On the "Device Details" pop-up window, click the "Delete" button
