Workflow rules can be created via Command that will allow certain system events to raise triggers to which administrators can wire actions when certain conditions are met.
This page covers the following topics:
Example Use Cases for Workflows
Example 1: Vulnerable Users
Not only does the workflow allow notifications to be sent to the user who has checked-in, but also anybody else who would benefit from knowing they are checked-in. For example, if a specific vulnerable user checks in and/or checks out, a notification could be sent to a member or members of a wellbeing team.
Example 2: Lone workers
For lone workers who use a check-in timer, it could be useful from a safeguarding perspective for supervisors and other colleagues to receive a notification not only if they check-in/check-out, out but also if their timed check-in expires or reaches a reminder or escalation stage.
Pre-requisites
In order to configure workflows a few pre-requisites should be met:
Pre-requisite 1: If you are going to set up alert-based workflows, SafeZone must be configured to view and receive alerts.
Example 1:
Employee A is working in the office and has fallen down the stairs and has injured themselves. If Employee A raises an alert, the alert is seen by the building's security team.
Employee B is working in a remote office that has no on-site security. A workflow is configured to notify security managers via Push, SMS and Email so that any alerts raised at the remote office can be seen by the security team in Command and a notification can also be sent through to the management team.
Is your SafeZone set up to view and receive alerts? If you do not have Regions, Region Groups and Users set up in SafeZone, you may not be able to see and respond to alerts properly. For instructions on how to set up Command, please see the guide on Setting up SafeZone which is a recommended order for setting up Command.
Pre-requisite 2: Some conditions and actions may be configured to run based on users in a user group.
Example 2:
Employee A is working in the office and has fallen down the stairs and has injured themselves. If Employee A raises an alert, the alert is seen by the building's security team.
Community Nurse B is a user in the "Community Nursing" user group and is out assisting patients at home. If Community Nurse B raises an alert a workflow is configured to send a notification to the Community Nursing Managers user group.
For instructions on how to set up User Groups, please see the guide on User Groups
Pre-requisite 3: Some actions require notifications to be sent out to users in a user group.
Example 3:
Community Nurse B is a user in the "Community Nursing" user group and is out assisting patients at home. If Community Nurse B raises an alert a workflow is configured to send a notification to the Community Nursing Managers user group. The notification template for "Community Nurse raised an alert" is sent to the managers of the Community Nursing team.
For instructions on how to set up Notification Templates, please see the guide on Notification Templates and Notification Template Categories
