The substitution tokens menu allows you to add a list (lists) of options within a Notification Template. This means that instead of needing a template for every weather condition (for example) a substitution token can be incorporated which lists the weather types as a drop list. Tokens are also commonly used to select buildings, campuses, Clery lists, or other incident information.
Tokens can be universal (be available to all templates) or limited to certain Template Categories.
Viewing Substitution Tokens
Current Substitution Tokens can be found in Admin - Notifications - Substitution Tokens
On this page you will see:
- Names of the Tokens in use
- Which template categories each token applies to
- A button to create new tokens
Creating New Substitution Tokens
You can create up to 250 line items in a token list (although functionally, for ease of use, it is recommended to limit this to a smaller, more manageable number).
Items are listed in alphabetical order, so consider adding numbers before commonly used values so that they appear at the top of the list, before listing other less common items without numbers. E.g.
1. Main Campus
2. Library
3. Student Center
Athletes Village
Bradshaw Building
Center for the Arts...
To add a token:
- Go to Admin - Notifications - Substitution Tokens
- Click "Create Substitution Token"
- Insert a Token Name (Labelled "A" on above screenshot)
- Select where the token will be available in the "Availability" section. This can be done through either
- Clicking in the box (Labelled "B" on above screenshot)
- Clicking on the drop selector (Labelled "C" on above screenshot)
- You can add an individual item to the list by clicking the "Add Value" button (Labelled "D" on above screenshot) and typing a unique name
- You can add another item by clicking "Add Value" again and typing the next value for the list.
- Once complete click "Save" (Labelled "F" on above screenshot)
Where you have a long list of items, you can use the "Bulk Update" button (Labelled "E" on above screenshot).
You will then see a new pop-up window (see below) where you can paste a list of items from another source.
Once copied, just click "OK" and then "Save" on the main substitution token page
NOTE: Ensure all items are unique otherwise you will get a "Value [Delivery Area] is duplicated" error
