Security Group Overview
Security Groups are sets of users who share the same roles and / by extension permissions. Security groups can have multiple roles assigned to them (More info on roles).
Example:
You could create a security group called "Dispatcher" for a control room officer / dispatcher, and provide them with both "Alert Management" and "Notifier" roles.
Anyone who works in that control room would therefore be added to the Dispatcher Security Group.
Security groups are therefore often tied to a team who have a specific job within the organization.
Note: If you only have one person with access to a certain niche permission set, for example a supervisor who can just see check-ins from their team. You may not need a security group and instead just create a role for them.
Security Groups Setup
Adding a security group
- Go to Admin - Access Control - Security Groups
- Click on the "Create New Security Group" Button
- Enter a unique name for the group and click "Save"
Assigning Users to or Removing Users from a Security Group
After the initial addition of the group above you will see the Security Group information page. This can also be accessed by going to Admin - Access Control - Security Groups and selecting the group where you would like to see further information. Whether you want to add or remove users from the group, the process is the same.
- Click "Assign Users"
- On the next page, you will see a list of users in the system. Use the search tool to find users to add to the group. Note You can search by name, email or phone number and the list will live updated
- Any users already in the security group will be checked.
- To add or remove users to the security group, first click "Edit" then check or un-check names as appropriate
- Click "Save" to confirm and use the back arrow next to the page title "Assign Users" to go back to the Security Group Information page.
Tips:
- You can quickly see the users who are in a group by clicking the "Users in {Group Name} Security Group.
- If there are more than 10 users, you can also increase the list size by increasing the value in the "Rows per page" drop selector at the bottom right of the list.
Renaming the Security Group
To rename the Security Group:
- Go to Admin - Access Control - Security Groups and selecting the group where you would like to see further information.
- Click "Edit Name"
- Type the new name (NB this must be unique in the system)
- Click Save
Deleting the Security Group
Before deleting a Security Group, ensure all users in that group have been reassigned appropriately or removed from the system, and all roles have been unallocated, otherwise you will get errors.
To delete the Security Group:
- Go to Admin - Access Control - Security Groups and selecting the group where you would like to see further information.
- Click "Delete Security Group"
- The above message will appear whether there are users in the group or not, click "Delete" to confirm or "Cancel" to go back and check if necessary.
- You will then be returned to the main Security Groups page.
