Overview
Notification Templates help organisations send important communications quickly, consistently and accurately. Templates can contain predefined recipients, communication channels and message content, allowing operators to respond rapidly during incidents while maintaining approved messaging.
Templates can be sent manually from SafeZone Command or used automatically by SafeZone Workflows. They can also include Notification Template Substitution Tokens to prompt operators for information when sending a notification, and Workflow Substitution Tags to automatically insert information from the workflow that triggered the notification.
For information on creating or editing Notification Templates, refer to the Notification Templates guide.
This guide is divided into two sections based on the permissions assigned to your SafeZone Command account:
For information on configuring notification permissions, refer to Editing User Permissions.
Send adhoc messages and templates
Users with this permission can select a Notification Template, review or modify the recipients and message where permitted, and then send the notification.
-
Open Notify in SafeZone Command.
-
Select the required Notification Template from the list.
The recipients, communication channels and message content configured in the template are loaded automatically.
-
Review or update the recipients as required.
Depending on the template configuration and your permissions, you may be able to add or remove selected groups and even add or remove specific recipients from the groups (e.g. if someone is on leave)
-
Review and configure the required communication channels and use the substitution token selector at the bottom of each channel, to complete the variable text as required.
The available channels depend on your organisation's licensing, the Notification Template and your user permissions.
The configuration process for recipients and communication channels is the same as described in the Send a Custom Notification guide.
-
Select Next.
SafeZone validates the notification before continuing. If any required information is missing or incorrectly configured, an error is displayed at the top of the page. Resolve the highlighted issues and select Next again.
-
Review the notification summary.
The review page displays the selected recipients, communication channels and message content, allowing you to confirm that everything is correct before sending. SafeZone also confirms that you have the required permissions to send the notification.
-
Select Send to broadcast the notification.
To return to the previous page and make further changes, select Cancel.
-
After the notification is sent, a live progress page displays delivery information, including the number of messages sent through each channel.
For more information about message history and delivery status, refer to the Notification History guide.
Modify the Notification Template
To make permanent changes to the selected Notification Template:
- Select Open in template editor.
- Follow the instructions in the Notification Templates guide.
Send templates only
Users assigned the Send templates only permission can send approved Notification Templates but cannot modify them before sending.
Templates available to these users must:
- Have the recipients predefined.
- Have all notification content predefined.
- Not require Notification Template Substitution Tokens.
This ensures that approved notifications can be sent immediately without operator changes.
-
Open Notify.
Only Notification Templates that meet the requirements above are displayed.
-
Select the required Notification Template.
A summary of the notification is displayed for confirmation.
- Review the recipients, communication channels and message content.
- Select Send to broadcast the notification.
-
As with above, a live progress page displays the delivery status for the notification.
Delivery reports can also be viewed later in Notification History.
