Global Settings - Email Templates

The Email Templates setting allows you to configure how emails, sent from SafeZone, appear to the end-users. SafeZone provides standard email templates in the system which organisations can customise to suit their wording. Email Templates are sent to users:

• when a notification is sent;
• when a user is registered as a new user in SafeZone;
• when the invitation emails are sent from the Pre-Registrations feature;
• when the user is requested to Verify their account (if they have self-registered themselves for a SafeZone account);
• if the user has requested a password reset in SafeZone (non-SSO accounts);

You have the ability to configure the Email Header and the Email bodies (for mass communications and account-based messages). It is not possible to edit the Email Template Footer as it is locked for it contains data which is required to be sent with all communications for legal reasons.

Important: SafeZone utilises substitution tags in the email templates. These are used for providing the end-users with the user's login details (such as their email address and temporary password for signing in to SafeZone), your organisation's name and the notification email message. The substitution tags appear with brackets (eg. "{InviteEmail}") It is important that these tags are not edited or removed as they provide the user with the necessary information for their SafeZone account.

To view the Email Templates, click on Admin -> Zone Configuration -> Global Settings -> Email Templates. Here you can edit the:

• SafeZone Email Template Header;
• SafeZone Email Template Bodies;

SafeZone Email Template Header

The Email Template Header appears at the top when the email is sent out to the users

To edit the Email Template Header:

1. Click Edit to edit the Email Template Header.
2. A text editor window will appear allowing you to format the text using Rich-Text formatting tools and you can edit the HTML using the Code View button .
   
3. You can also incorporate your organisation's logo into the header so when the email gets sent to your users, your organisation's logo will be displayed at the top. SafeZone provides a logo as a placeholder.
4. Click Save Changes to save and close the editor menu, otherwise click on Discard Changes to discard and revert back to the previous version.
   
   

SafeZone Email Template Bodies

To modify the SafeZone Email Template Bodies:

1. Click on the SafeZone Email Template Bodies drop-down to select the template you wish to edit.
   
2. Click on Edit.
   
   • The Email mass notifications template body is generated from the Notification Templates you have created in Notification Templates.
   • The template bodies for New account invitation, New account reminder and New Account verification can be modified directly in the text editor.
3. A text editor window will appear allowing you to format the text using Rich-Text formatting tools and you can edit the HTML using the Code View button .
   
4. Click Save Changes to save and close the editor menu, otherwise click on Discard Changes to discard and revert back to the previous version.
